PTA insurance 101
The basics for volunteers who just inherited the treasurer's binder. This is general information, not a policy or legal advice.
What is PTA insurance?
A set of policies that protect a parent-teacher group when something goes wrong at its events or with its money. Most PTAs and PTOs are nonprofits that are legally separate from the school.
Doesn't the school's insurance cover us?
Often not, or only in part. District policies are written for the district. Ask the school or district in writing what, if anything, applies to your PTA and to your volunteers.
What coverages should we know about?
- General liability
- Injury or property damage claims from events and activities.
- Directors and officers (D&O)
- Claims against board members over decisions made for the group.
- Crime or fidelity
- Theft of group money or property by officers, volunteers, or others.
- Volunteer accident
- Medical costs when a volunteer is hurt while helping.
- Abuse and molestation (SAM)
- Liability for claims alleging sexual abuse or molestation connected to your PTA's activities. See the SAM section below.
- Property and equipment
- Loss or damage to things the group owns, such as a popcorn machine or sound system.
What is SAM (sexual abuse and molestation) insurance?
SAM coverage is liability insurance for claims that allege sexual abuse or molestation connected to your PTA's activities. It is often a separate coverage because standard general liability policies commonly exclude these claims or limit them sharply.
Why PTAs run into it. Schools, districts, and venues may ask for proof of SAM coverage, sometimes at set limits such as $1 million per occurrence and $2 million aggregate, before a group can use a facility or run a program. Check the agreements you sign to see what they require.
What carriers look at. How you screen adult volunteers (background checks, sex offender registry searches, references), whether you have a written abuse prevention policy covering one-on-one contact and how to report concerns, a written plan for responding to allegations, and whether your people are trained in de-escalation. Carriers also ask about past claims and allegations. Our quote form asks these questions.
Read the terms. Limits, how defense costs are treated, and what counts as a single claim vary by policy. Coverage is subject to underwriting approval and is not available in every state. Insurance does not replace good child-safety practices: careful screening and clear policies protect children first.
Who is covered?
It depends on the policy. Check whether the group, its officers, and its volunteers are all named, and whether the school or district can be added as an additional insured.
What affects the price?
Typically the number of members, how many events you hold and what kind (inflatables, food, and cash fundraisers draw more attention), your budget, and your claims history.
